Reports to: VP, Development and Donor Services
The Community Foundation of Greater Greensboro (CFGG) is a public charity serving Guilford, Alamance, Randolph, and Rockingham counties in North Carolina. Under the direction of a volunteer board of community leaders, the Foundation receives charitable funds from donors, invests those funds, distributes funds to charitable causes, and provides services and grants to nonprofit agencies and the community. Position Summary:
The Receptionist & Administrative Assistant to Development provides professional administrative support to the Development and Donor Services (DDS) team while serving as the Foundation’s primary greeter and customer service representative.  A friendly, helpful demeanor is a must along with excellent attention to detail and the ability to manage multiple tasks and priorities. Job description:
Essential Duties and Responsibilities:
Support Development & Donor Services Team
  • Coordinates DDS shared calendar and tasks
  • Assists with scheduling prospect and donor appointments for DDS team
  • Provides administrative support for Professional Advisors, Development, and Expanding Community Giving committees, including notices, scheduling, meeting materials, IT needs, and minutes
  • Assists with DDS events, including scheduling, sending invitations, managing RSVPs, sending attendance lists, organizing relevant IT, and nametags
  • Enters DDS team’s notes and actions from activity spreadsheets into Customer Relationship Management software (CRM)
  • Updates constituent records within CRM as needed
  • Assists with travel arrangements for DDS team
  • Assists with filing and preparation and distribution of large mailings
  • Accepts and deposits donations (typically checks)
  • Processes and codes all expenses for DDS team
Receptionist and Office Support
  • Provides warm welcome to visitors and guests of the Community Foundation
  • Serves as primary receptionist for the entire CFGG staff
  • Assures tidy and inviting reception area
  • Troubleshoots phone issues for staff
  • Serves as member of A-Team (a cross-departmental administrative team)
  • Coordinates phone coverage with A-Team
  • Opens and closes office suite daily, in accordance with Opening/Closing policy
  • Coordinates reservations for community rooms, Zoom meetings, and other shared spaces
  • Ensures office supplies are fully stocked
  • Serves as backup for mailing checks
  • Downloads and distributes credit card statements for CFGG staff
  • Communicates with landlord regarding maintenance issues and vendors regarding office needs
  • Recommends and implements policies and procedures for office operation and maintenance

Knowledge, Skills and Abilities:
  • Bachelor’s degree or equivalent combination of training and relevant work experience
  • Interpersonal, organizational, time management, leadership and development skills
  • An ongoing commitment to training in both areas of soft skills and technical skills to maintain current skills and knowledge
  • Accuracy, attention to detail, and excellent verbal and written communication skills
  • Proven computer and software use skills, especially MS Office
  • Creativity and self initiative 
  • Excellent verbal and written communication skills, including strong understanding of social media
  • Excellent phone and customer service skills
  • Experience in handling confidential information and maintaining confidentiality of sensitive information
  • Ability to prioritize and manage multiple priorities in a fast-paced environment
  • Knowledge of database/CRM software
  • Strong understanding of nonprofit operations and familiarity with community issues and volunteerism
  • A broad and diverse knowledge of community issues and demographics with a strong individual network
  • Working knowledge of community foundations and an understanding of charitable giving opportunities and strategies
  • Familiarity with Greensboro/Guilford County
  • Proven history of successful work in diverse environment or with diverse groups
