Executive Assistant

Overview:
 
The Community Foundation of Greater Greensboro (CFGG) is a public charity serving Guilford, Alamance, Randolph, and Rockingham counties in North Carolina. Under the direction of a volunteer board of community leaders, the Foundation receives charitable funds from donors, invests those funds, distributes funds to charitable causes, and provides services and grants to nonprofit agencies and the community.

Position Summary:
The Executive Assistant leads and directs the administrative needs of the President, the Foundation’s Board of Directors, and assists the Operations and Finance departments as needed. Responsibilities require advanced levels of MS Office (Excel, PowerPoint, and Word), internet research skills, and project management skills for the development of complex reports and presentations. Strong “donor” relations skills and ability to manage multiple tasks in a fast-paced, changing environment are required. Commits to maintaining positive interpersonal relationships and embracing inclusivity within a growing diverse environment.
 
Job description:
Essential Duties and Responsibilities:
Office of the President
  • Provide all administrative and clerical support to the President
  • Work closely with the President in the daily management of all appointments, phone calls and scheduling of events and appointments
  • Coordinate travel arrangements and logistics for the President
  • Field questions on behalf of the President to help facilitate efficient response to needs and issues
  • Provide professional support for the President in working with the Board of Directors, various committees, constituents, community groups and organizations
  • Assist with oversight of Front Desk duties (mail, coverage etc.) 
  • After an initial shadowing and training period, manage preparations for Board and Executive Committee meetings, including scheduling, crafting of presentation materials, obtaining required materials from staff and communications with Board and committees
  • Prepare minutes for the Board of Directors and Executive Committee
  • Coordinate special projects as assigned by the President
  • Pro-actively communicate with other staff to help with completion of time-sensitive projects
 
Operations and Finance Department
  • Provide professional administrative support to the Vice President of Finance and the Vice President of Operations and Equity.  Handle internal meeting logistics and communications, travel arrangements, expense reports, continuing professional education (CPE) and licensure reporting, and other administrative duties, as needed
  • Coordinate administration, including notices, scheduling, meeting materials, and minutes, for Finance, Investment, and Audit committees, and Boards of various LLCs and affiliates
  • Maintain current listing of banking and investment relationships.  Prepare and coordinate banking and investment transaction instructions, and audit confirmations
  • Coordinate insurance coverage for special events
  • Assist Manager, Employee Engagement and Operations with staff meetings and other staff outings as needed

Knowledge, Skills and Abilities:
Required:
  • Bachelor’s degree or equivalent combination of training and relevant work experience
  • 5+ years of executive administrative work experience
  • Interpersonal, organization, time management and leadership skills
  • Accuracy and attention to detail
  • Comfort in working with financial data and in creating related reports
  • Excellent customer service
  • Excellent verbal and written communication skills
  • Proven computer and software use skills, especially MS Office Suite; data base management experience is a plus
  • Ability to gain the confidence and respect of diverse constituents, donors and professional advisors as well as Community Foundation colleagues
  • Experience in handling confidential information and maintaining confidentiality of sensitive information
  • An ongoing commitment to training in areas of soft skills and technical skills to maintain current skills and knowledge
 
 
Preferred:
  • Experience in supporting and communicating with a board of directors
  • Strong understanding of nonprofit operations and familiarity with community issues and volunteerism
  • A broad and diverse knowledge of community issues and demographics with a strong individual network
  • Working knowledge of community foundations and an understanding of charitable giving opportunities and strategies
