Administrative Assistant for Operations and External Affairs
The Administrative Assistant for Operations and External Affairs provides administrative support to the Foundation to ensure efficient operation of the office. This role reports to the Operations Manager and works collaboratively with External Affairs and others within the office. The Administrative Assistant for Operations and External Affairs has the responsibilities listed below and performs other related duties as assigned.
General Office Support, Operations, and Facility Maintenance
- Performs general administrative tasks, including answering the main phone line, routing calls, and performing initial intake for questions regarding Golden LEAF programs
- General office management duties, including receiving, sorting, and distributing mail, and office supply management
- Serve as a primary point of contact for Operations vendors; responsible for initial outreach to troubleshoot issues and to schedule routine maintenance
- Serve as a primary point of contact for staff with questions regarding Operations items; assists with training staff on new tools or procedures as directed by the Operations Manager
- Assist with implementation of the Foundation’s records retention policies
External Affairs and Event Support
- Complete data entry/logging of meetings, media mentions, and other outreach activities
- Schedule meetings, put together briefing binder, and other related duties as directed
- Support data entry and mailing needs related to the Golden LEAF Scholarship program
- Supports logistical needs for Board of Directors meetings held at the Golden LEAF office/Retreat Center including the following:
- Preparation of the Retreat Center and office
- Scheduling of caterers, equipment rentals, and pre-meeting services
- Coordination with caterers onsite, supporting setup and clean up activities
- Securing hotel rooms for Board members

Preferred Qualifications
- At least four years of progressively increasing responsibilities in project management and/or operations
- Demonstrated proficiency in use of common software programs including Microsoft Outlook, Word, and Excel
- Ability to learn new web-based systems including Airtable and Asana
- Work includes light physical activity, including lifting and carrying package deliveries in addition to occasionally assisting with moving items in the office space for meeting preparation

Compensation:
This position has an anticipated hiring range of $42,000 – $47,000, depending on qualifications and experience.
