Operations Support Specialist - Reception & Administration

The Operations Support Specialist – Reception & Administration will provide a range of administrative and clerical duties supporting the primary functions housed in the foundation’s headquarters in Raleigh, NC. This full-time role requires five days in the office each week, Monday through Friday, 9am – 5pm EST. The Operations Support Specialist – Reception & Administration will serve as the first point of contact for visitors and vendors. Job description:

Core responsibilities include:

  • Raleigh office front desk, suite operations and conference center support, Monday - Friday.
  • Managing incoming telephone and email inquiries.
  • Daily mail processing.
  • General administrative support for the Finance & Administration team.
  • General administrative support for Raleigh office staff.
  • General administrative and technical support for external guests.
  • First point of contact for tracking user issues with 3rd party IT vendor(s).
  • Vendor on-site visit coordination.
  • General support for virtual and hybrid meetings hosted in the Raleigh office.
  • Proficiency with CRM, data entry, reporting and document management.
  • Maintaining office supply inventory for Raleigh office and regional team members.
  • Cross functional project support.
  • SOP review and creation.
  • New hire onboarding support.
  • Internal communication with staff.
  • Other duties as assigned to meet business needs.

Qualifications:

Education:
  • High School Diploma or GED.
 
Experience:
  • Administrative, reception, customer service, clerical, office operations support, including 3 or more years’ work experience.
 

The ideal candidate will exhibit:

 
  • Reception experience.
  • Proficient in MS Office, CRM / database, presentation tools.
  • Customer service excellence with internal and external stakeholders.
  • Keen attention to detail, managing quality data entry and content review.
  • Excellent in person, verbal, and written communication skills.
  • Demonstrates support for innovation and development to improve effectiveness and efficiency.
  • Provides input for continuous process improvement.
  • Capability and willingness to implement changes provided by management. 
 
We offer a comprehensive benefits package and the opportunity to work with a committed, engaged team. The hiring range for this position is $48,000 to $54,000, depending upon qualifications and experience. NCCF is an equal opportunity employer.
