DESCRIPTION OF RESPONSIBILITIES
All staff work together to live out the Foundation's mission, values, and equity commitment. Each person actively participates in education sessions, work groups, and other formal and informal opportunities to learn about and operationalize our shared commitment to equity. This role supports the Development and Donor Services Team and engages as an active and positive member of the WSF workforce.
Administrative Support
- Provide administrative support for the Vice President, Development and Donor Services (DDS) including scheduling appointments and meetings, donor meeting prep, and follow-up.
- Assist DDS staff with requests from donors (mailing trust agreements, fund statements, etc.).
- Coordinate committee and group meetings such as Community Philanthropy Builders, professional advisor meetings, etc.; coordinate communication, invitations, RSVPs, meeting material and logistics. Record minutes.
- Work in partnership and provide assistance as needed to Grants and Gifts staff – follow up on outstanding checks, act as liaison between nonprofit organizations and donor services with grant concerns; assist with additional due diligence on grants as necessary.
- Establish expertise in the CSuite database related to donor activity, entering profile information, transactions, and engagement notes. Pull reports, clean up historical data, and ensure that the team has confidence in the quality and usability of the information. Work collaboratively with the Foundation’s “Power Users” group to ensure database accuracy and consistency.
- Notarize legal documents.
- Maintain digital and paper files.
Project Management
- Event management: coordinate and manage event logistics for DDS events, including event planning, managing invitations (running event invitation lists, invite printing, RSVP’s,) logistics, run of show, cross-team coordination, catering, audio-visual support and speaker coordination. Some events may be held in the evenings.
- Manage inventory of Team materials such as letterhead, notecards, stamps, etc.
- Manage logistics for mailings, including daily, weekly and monthly individual donor and batch communications. Serve as liaison between the mail house, Communications, and the DDS Team.
- Assist with data projects including pulling regular development and donor reports.
- Maintain paper and electronic archives.
- Make regular updates to and print DDS inserts.
Customer Service
- Field donor inquiries and help troubleshoot issues that fund advisors encounter in the online portal.
- Provide front desk coverage for office manager.
- Review obituaries daily, research records for WSF relationships, communicate to DDS Team for records updates.
- Provide administrative support for various projects, as assigned.
QUALIFICATIONS
Administrative and Organizational Skills
- Proven track record of providing a variety of administrative responsibilities, including scheduling, coordinating, and compiling resources for meetings, events, and projects.
- Highly detail-oriented, with superb organization and follow-through skills; proven ability to multi-task, strategize, problem solve, and prioritize responsibilities.
- Experience in administrative, project management, or coordinating roles.
- Experience with event management and logistics.
Communication Skills
- Exceptional writing and communication skills, with a high level of attention to detail.
- Ability to exercise sound judgment and maintain highly confidential information.
- Strong customer service skills.
Technical Skills
- High-level proficiency in Microsoft Office (particularly Word, Excel, PowerPoint, and Outlook).
- Experience with SharePoint, Teams, Power Automate, and online form applications like JotForm, Microsoft Forms, JotForm, or SurveyMonkey.
- Experience and proficiency in integrated database and CRM systems.
- General comfort with technology and ability to learn and adopt new computer programs quickly.
- Ability to effectively integrate technology into daily work.

WORK SCHEDULE AND LOCATION
Due to the nature of this role, the Coordinator, Donor Services works on site daily. Our offices are in downtown Winston-Salem.
SALARY AND BENEFITS
The salary for this position is $50,000. Benefits include generous paid time off (PTO) and holidays, along with a 10% salary contribution by the Foundation to your retirement plan after one year of service. Health, dental, and life insurance, as well as short-term and long-term disability coverage and parental leave, begin on the first of the month following 30 days of employment. Additional optional benefits include a flexible benefits plan, various supplemental insurance options, an employee supplemental retirement plan, a charitable match program, and tuition and fee reimbursement.
